Privacy Policy

Last updated: 2026-10-21

This policy explains how SummaryNote (the Android app and summarynote.app) handles personal data. Operator and controller: EasyAI Labs (“SummaryNote”, “we”). Contact: contact@summarynote.app

1. What we collect

  • Account: your email address, how you sign in (email link or Google), and sign-in timestamps.
  • Content you provide: recordings you make in the app, audio and video files, documents (PDF, DOCX, TXT, Markdown), photos, article links, and text you paste.
  • Content we generate for you: transcripts, extracted text, notes, summaries, study sets, and answers to your questions.
  • Purchases: payments are made through Google Play. We and our subscription processor receive your account ID, purchase and subscription identifiers, and store country to manage your plan. We never receive payment card data.
  • Usage and device data in the Android app: app interaction events (for example screens viewed and error codes), device and app information, app and device identifiers including the advertising ID, and a random account ID that is not your email. Usage analytics never include note content, transcripts, files, file names, links, or your email address. We do not use this data for ad personalisation, and you can turn usage analytics off in Settings › Privacy & terms.
  • Notifications: a device push token, only if you allow “note ready” notifications.
  • Service records: usage counts for plan limits, and request IDs, timestamps, and error codes for reliability and support.
  • Support: messages you send us.

We do not log note content, transcripts, file names, or signed URLs. The website runs no analytics or advertising trackers.

Microphone and recording. The app uses the microphone only after you start a recording. A recording continues while the screen is locked until you stop it, and it is saved on your phone as it is made. After upload, the original stays on your phone for the time chosen in Settings › Recording and is then removed from the phone.

2. How we use it

  • To provide the service: process your content into notes and let you read, search, share, export, and study them.
  • To run your account and plan, including limits, purchases, restores, and refunds.
  • To keep the service secure and reliable, prevent abuse, and answer support requests.
  • To understand which features are used and where things fail (usage analytics, which you can turn off).

We do not sell personal data, show ads, or use your content to train AI models.

3. Service providers

We use trusted service providers to run SummaryNote:

  • cloud hosting, storage, and database;
  • AI services that turn your content into transcripts, notes, and answers;
  • app analytics and notifications;
  • sign-in;
  • payment and subscription processing;
  • email delivery.

They process data only to provide their service to us, under contractual confidentiality and security obligations, and receive only what they need. Your content is sent to them over encrypted connections.

4. Legal bases (EEA/UK users)

We rely on contract to provide the service you signed up for, legitimate interests for security, abuse prevention, and reliability, and consent for usage analytics, notifications, and microphone access, which you can withdraw at any time.

5. Sharing

We share data only with the service providers described in section 3, which we need to operate the service, when you choose to share a note through a share link, when required by law, or as part of a merger or acquisition under equivalent protections. A share link lets anyone who has the link read that note until you stop sharing it.

6. Retention

  • Originals, transcripts, and notes are kept until you delete the note or your account.
  • Deleted notes stay in Recently deleted for 30 days, where you can restore them, and are then removed.
  • Deleting permanently removes the original file and derived data from the live service immediately. Residual copies can persist in routine infrastructure backups for up to 30 days before they are overwritten.
  • Account deletion removes files, notes, derived data, usage records, and login identity, and cannot be undone. The same 30-day backup window applies.
  • Operational logs (request IDs, timestamps, error codes) are kept for up to 30 days.

7. Your rights and controls

In the app you can export your notes and all your data, download originals, delete notes, delete your account (see how to delete your account), and turn usage analytics, notifications, and microphone access on or off. You can also email us at contact@summarynote.app.

Depending on where you live, you may have the right to access, correct, erase, restrict, or object to processing of your personal data, to data portability, to withdraw consent, and to complain to your data protection authority. This includes users in the EEA and UK and users covered by other data protection laws, such as those of Brazil (LGPD) and other countries where SummaryNote is available. California residents have the right to know what personal information we collect, to request deletion or correction, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioural advertising. We respond within the time the applicable law requires.

8. Security

We use TLS in transit, encryption at rest at our providers, short-lived signed URLs, server-side ownership checks, and secrets kept outside source control. No system is perfectly secure; report issues to contact@summarynote.app.

9. International transfers

Data is stored primarily in the United States and may be processed by our service providers in other countries. Where personal data of EEA or UK users is transferred outside those regions, we rely on the European Commission’s Standard Contractual Clauses (and the UK Addendum where applicable) as entered into with our providers.

10. Children

SummaryNote is not directed to children under 16, and we do not knowingly collect their personal data. If you believe a child under 16 has created an account, contact us and we will delete it.

11. Changes

We will announce material changes by email or in the app before they take effect and update the date above.
